 JOB TITLE:   Administrative Assistant (Office of Administration)  

 Caring Matters serves individuals with intellectual and developmental disabilities (IDD) and will be hiring an Administrative Assistant for our office of Administration.

Monday – Friday: 8:30 a.m. – 4:00 p.m. (30-minute lunch)

  Some of the responsibilities / duties for this position are listed below; HOWEVER, refer to the Job Description below for complete responsibilities / duties. 

  • Serve visitor(s) by greeting, welcoming, and directing them appropriately.
  • Identify appropriate personnel required to address visitor’s request.
  • Promote a positive and respectful environment for visitors.
  • Possess great “listening skills”
  • Able to handle pressure, i.e., attending to several visitors.
  • Possess computer skills in Word, Excel (will be tested).
  • Able to type at least 34-40 words per minute and be able to write / format a short memo, email, etc. (will be tested).
    • Applicants must have a valid Texas Driver’s License or Texas ID
    • Hourly Wage $10.00

RESPONSIBILITIES AND DUTIES

  1. Serve visitor(s) by greeting, welcoming and directing them appropriately.
  2. Identify appropriate personnel required to address visitor’s request(s).
  3. Promote a positive and respectful environment for visitors.
  4. Possess great “listening” skills.
  5. Use professional etiquette when answering telephone calls and/or interacting with visitors. Always have a positive attitude. 
  6. Issue and inventory office supplies, and assure that the inventory is replenished.
  7. Ensure that utensils, napkins, etc., are well-stocked in the kitchen.
  8. Ensure that the restroom supplies are well-stocked, as well.
  9. Ensure that staff is reminded on Fridays to take their items from the refrigerator; if staff does not, throw items away.
  10. Ensure outgoing mail is collected by postal service. 
  11. Distribute incoming U.S. mail according to supervisor’s instructions. 
  12. Maintain copies on file of: Employment Applications, PTO/Absence Request Forms, Background Authorization, Employee Change Forms ( for address change only), etc.
  13. Bill ISS (In-Home/Off-Site), RSS and HHCC Services.
  14. Prepare/Print ISS and Residential Documentation and have ready before the end of the month.
  15. Assist with HHCC check distribution on paydays.
  16. Maintain TV monitor updated with pertinent information, i.e., announcements, general information, etc.
  17. Will be a back up for distribution of allowances in the absence of Administrative Assistant, Business Office.
  18. Able to type at least 35-40 words per minute AND be able to write /format a memo, email, etc. 
  19. Possess computer skills (Word and Excel).
  20. Other duties as assigned by CEO and CFO.
